Beds24 allows their hotels to schedule reports being sent daily via email named: 'Routines'. This will save time, and additional tasks for our Hotels, allowing our Support to proactively investigate data discrepancies.
The right order for the setup will be:
1. Create the outgoing e-mail setup: Scheduled Reports
2. Routines creation: one for “Monthly Revenue” and the other for “Monthly Occupancy”
✉️ Step 1: Set up outgoing e-mail
1. Go to Account -> Outgoing Email
2. Under “Own Email Address”, Select “Use Own Email Address” -> “Yes”, and enter your e-mail address (without the <>) in “Sending Email Address”. You can leave “Descriptive Sending Email Address” empty.
Then, hit “Save”.
Then, hit “Save” again.
NOTE: In case you use Gmail and have multi-factor authentication (MFA) enabled on the account you want to send automated e-mails from, you can set up an app password to use with Beds24. Go to https://myaccount.google.com/apppasswords , give the new app password a name (e.g. “Beds24 automated e-mails”), copy the generated password, and paste it into the “Password” field in Beds24.
If you don’t have MFA, just use your regular account password.
4. If you want to test that your setup works, you can click “Send Test Email” under “Own Email Address”.
It will send an e-mail to your administrator e-mail address (you can see it under “Account”).
⚙️Step 2: Monthly Revenue/Occupancy Routine creation
💲Revenue Routine:
1. Go to Account -> Routines
3. Click "Edit" on the newly created routine
5. Select the following in "Attachment", then hit "Save"
▶️ To Consider: RoomPriceGenie will calculate Revenue and Occupancy only based on these three statues:
Confirmed ✅
New ✅
Request ✅
⚠️ Inquiry status won't be included in Revenue Calculation
📆 Occupancy Routine: Follow the same steps as above to create another routine, but this time use "Monthly Occupancy" for Routine -> Name, Email -> Email Subject, and Attachment -> Report
